Watch: How to systemize your business, fix 1 thing or everything

This is the video behind the post. It follows one cleaning company owner through all 3 steps, so you can watch a map answer the question before you ask it of yours.

To systemize your business, start by finding out whether 1 folder is on fire or all of them. If it’s 1, fix that one first. If it’s all of them, you’re building the whole operation. Either way, you write the choice down with a date.

That sounds like a lot. It’s 3 steps, and your map does most of the work.

How to systemize your business: why you stall

You have a map of your business. You’ve found your bottleneck. You’ve made a build or rent call.

Then you stall, because there’s more than 1 way forward. So the map sits in a drawer, and the leak keeps leaking.

You’d think picking your next step is a guess. It isn’t. Your map already points at the answer.

If you don’t have the map yet, start with small business systems. If you have a map but no bottleneck, find your business bottleneck first. This post picks up right after that.

Step 1: read your map

This step tells you if you have 1 fire, or chaos everywhere.

A firefighter sizes up the whole building before picking up a hose.

So lay out your 6 folders, and ask 1 question: “Is 1 folder on fire, or is it all of them?”

Here’s how to read the answer:

Take Andre. He’s made up, but his week will sound familiar. He runs a small cleaning company, and he’s sure he has to fix his whole operation at once.

His map says otherwise. His Quotes folder is on fire, and the other 5 are okay. So he doesn’t need the whole system yet. He needs 1 fix.

The mistake is picking by how overwhelmed you feel. The right move is counting the fires.

That’s your read. Keep it for step 2. (Step 1 in the video)

Step 2: pick your path

This step matches your read to the course that fits.

A leak gets a plumber. A gut job gets a whole crew.

Your read points to one of these paths:

Andre has 1 fire, so he starts Build One Thing Now.

The mistake is picking the bigger course because it sounds more serious. A bigger path isn’t a better one. The right path is the one your map points at.

If you’re still weighing the fix itself, build vs buy software runs 2 questions on that. And if you’re not sure which problem to start with, which business problem to fix first scores them for you.

That’s your path. Hold onto it for step 3. (Step 2 in the video)

Step 3: write it down, with a date

This step turns a choice into a plan you can check.

A job without a finish date just keeps going.

So take your path, and write 3 things: your path, the 1 outcome you want, and a date.

Andre writes, “Build One Thing Now, quotes out the same day, by month end.”

Here’s why that works. 1 outcome and a date tell you when you’re done.

The mistake is writing “get organized.” You can’t check that. The right move is 1 outcome you could check.

Not sure what counts as a good outcome? The Government of Canada keeps a small business hub with guides on planning and running a business. It’s a good place to look if you want a second view. (Step 3 in the video)

Why the order matters

Read your map. Pick your path. Write it down, with a date.

Skip step 1, and you’re back to guessing. Skip step 2, and you may start in the wrong course. Skip step 3, and the path stays a nice idea.

Write your path down

Here’s your move for this week. Write 1 line:

“My path is ____. The outcome I want is ____. My date is ____.”

Use your own words. A rough date is fine, as long as it’s a date.

If a new plan means sorting out the paperwork side too, Canada’s business services page lists what’s available in one place.

Try it on your own business

You came in with a map, a bottleneck, and a build or rent call. Now you have a path. You’re no longer guessing.

The full lesson, with all 3 paths and a prompt that walks you through it on your own business, is free in my Skool community. It’s lesson 2.5 in Map Your Business. When you have your path, post your path, your outcome and your date in your Build Card thread.
